1. Scope
This policy applies to vmasoft.in and VMASOFT ERP, POS, support, demonstration, integration and related services.
2. Information we collect
- Names, company details, email addresses, phone numbers and business addresses.
- Account, support, billing and subscription information.
- Device, browser, IP address, log and usage information.
- Business records submitted to our software by authorised customers.
- Communication information, including WhatsApp message metadata and content where an authorised integration is used.
3. How we use information
- Provide, secure, maintain and improve our services.
- Respond to enquiries, demonstrations and support requests.
- Process subscriptions, invoices and service communications.
- Prevent abuse, investigate incidents and meet legal obligations.
4. WhatsApp and Meta integrations
Where enabled by a customer, we process phone numbers, approved templates, message content, timestamps and delivery status only to provide requested communications such as authentication, order, payment, delivery and support updates. We do not sell message content.
5. Customer business data
Customers control the purpose of business data entered into our ERP or POS. VMASOFT processes that information to host, secure, back up, maintain and support the contracted service.
6. Sharing
We do not sell personal information. We may use trusted hosting, payment, communication, analytics and support providers under appropriate controls, or disclose information where legally required.
7. Security and retention
We use reasonable access controls, authentication, encryption in transit, monitoring and backup measures. Information is retained only as long as needed for service, security, contractual and legal purposes.
